Off-the-shelf or custom software: how to choose
Buy existing software or commission your own? A comparison of cost, time and flexibility – plus a third option few people consider: customising an existing product.

When deciding to digitise, the first question many businesses ask is: buy existing software or hire a team to build our own? There is no single right answer, but there are clear criteria.
Off-the-shelf software (SaaS)
Pros: fast to deploy, low upfront cost, monthly pricing, regular updates.
Cons: hard to fit unique processes; you adapt to the software.
A good fit when your process is common in your industry – language centers, preschools, bus operators.
Custom software
Pros: fits your process exactly, you own the code, deep integration with existing systems, a competitive edge.
Cons: higher upfront cost and time; you need a reliable partner for long-term maintenance.
A good fit when your workflow is what sets you apart, or when existing software forces you to work less efficiently.
A third option: customise an existing product
Many Vietcaso customers take this path: start from a proven product such as ECMS, XETA or VIBE, then add features, reports and integrations. You get 80% of the value on day one and only pay to build the 20% that is truly different.
Quick checklist
- Is your process similar to most businesses in your industry?
- Do you need it within weeks, or can you wait months?
- Are there systems you must integrate with?
- Do you want to own the source code?
- Who will maintain the software over the next 3–5 years?
If your answers lean towards “standard, urgent, few integrations”, choose existing software. If they lean towards “unique, ownership, many integrations”, consider building your own.
